Privacy Policy

Effective 5 October 2026.

This policy explains how Captivate Solutions Pty Ltd (ABN 20 701 952 794), 19 Jade Drive, Molendinar QLD 4214 ("Captivate Solutions", "we", "us") collects, uses, holds and discloses personal information. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. What we collect

We collect only what we need to deal with you. Depending on how you deal with us, this may include:

  1. Contact details: your name, business name, job title, email address, phone number and business or delivery address.
  2. Account details: ABN or ACN, entity type, accounts contacts, trade references and, for credit applications, information about directors or guarantors (collected with their consent).
  3. Order and service details: quotes, orders, invoices, payment records, delivery details, returns, warranty and repair requests, and serial numbers of equipment.
  4. Payment details: card payments are processed by our payment provider (Stripe). We do not see or store your full card number.
  5. Communications: emails, enquiries, form submissions and notes of phone calls with you.
  6. Job applications: your CV, work history and any other information you choose to send us when you apply for a role.
  7. Website usage: your IP address, browser, pages viewed and how you reached our site, collected through cookies (see section 7).

You can deal with us anonymously or under a pseudonym when you are only browsing or asking a general question. We can't open an account, supply goods or handle a warranty claim without identifying you.

2. How we collect it

We collect personal information directly from you: through our website forms (contact, dealer account application, return authority and repair requests), when you order, email or call us, and at trade events. We may also collect it from your employer or colleagues, trade referees, credit reporting bodies (for credit applications), public registers such as the ABN Lookup and ASIC, and manufacturers we distribute for when they refer an enquiry to us.

3. Why we use it

We use personal information to:

  1. respond to enquiries and prepare quotes;
  2. assess dealer and credit account applications;
  3. supply goods and services, arrange delivery and handle returns, repairs and warranty claims;
  4. invoice, take payment and keep our accounts;
  5. register products and warranties with the manufacturer;
  6. send product news, training and event information if you have subscribed (every email has an unsubscribe link, or you can ask us to stop);
  7. assess job applications;
  8. run, secure and improve our website and systems; and
  9. meet our legal obligations, including tax and record-keeping.

4. Who we share it with

We share personal information only as needed for the purposes above, with:

  1. our related company Captivate AV Pty Ltd, which shares our premises, staff and systems;
  2. manufacturers and suppliers, for warranty, repair, product registration and orders shipped direct to you;
  3. freight and courier companies, to deliver your goods;
  4. our payment provider (Stripe) and our bank;
  5. credit reporting bodies and trade referees, for credit account applications;
  6. our service providers, who host and run our business systems: Odoo (business management and this website), Xero (accounting), Microsoft 365 (email and documents) and Google Analytics (website statistics);
  7. our accountants, lawyers and insurers; and
  8. government bodies where the law requires it.

We do not sell personal information.

5. Overseas disclosure

Some of our service providers store or process information outside Australia, including in the United States and the European Union. When we use them, we take reasonable steps to make sure they handle personal information in a way consistent with the Australian Privacy Principles.

6. How we keep it secure

We hold personal information in our business systems and email, which are protected by access controls and limited to staff who need it. We keep records for as long as we need them for the purposes above and to meet legal requirements (for example, seven years for tax records). After that we delete or de-identify them.

7. Cookies

Cookies are small files a website stores in your browser. Our website uses:

  1. Essential cookies: these keep you logged in to your account, hold your shopping cart and remember your language. The site doesn't work properly without them.
  2. Analytics cookies: Google Analytics uses these to tell us how many people visit, which pages they view and how they found us. The reports we receive are aggregated and do not identify you.
  3. Campaign cookies: these record which link or campaign brought you to our site, so we know which marketing works.

We don't use advertising cookies. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on. If you block essential cookies, logging in and the shopping cart will not work.

8. Access and correction

You can ask for access to the personal information we hold about you, or ask us to correct it, by contacting us (see section 10). We'll respond within 30 days. If we refuse a request, we'll tell you why in writing.

9. Complaints

If you think we have mishandled your personal information, please contact us first (see section 10). We'll acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

We may update this policy from time to time. The current version is always published on this page, with its effective date at the top.
